Candidate Consent & Notice

This page reproduces, word for word, what a candidate is shown before VeriAxis verifies anything. It is published so that candidates, employers, mobile carriers, and our partners can all read the same text. If we change it, we publish a new version here with a new effective date.

What the candidate sees

Before any field can be submitted, the verification page states, in plain language and without scrolling on a standard phone screen:

  • The name of the employer or staffing agency that requested the check, and the role it relates to.
  • That VeriAxis performs the check on that company's behalf.
  • Exactly what is verified: that the candidate controls the mobile number given, and whether the name given matches the identity linked to that number.
  • That no Social Security number, date of birth, photograph, or identity document is requested.
  • How long the record is kept, and how to have it deleted sooner.
  • That giving consent is voluntary.

Only then are the two consent checkboxes presented. Both start unticked. Neither can be satisfied by continuing, closing a banner, or any other implied action.

The exact consent language

Checkbox one, required for the verification to run:

I authorize VeriAxis Group LLC to verify my identity using the mobile phone number I provided. This includes confirming that I am the current owner or authorized user of that number, and comparing the name I entered against identity records associated with that number held by my mobile carrier and its authorized data partners. I confirm that I am at least 18 years old and that this number is mine.

Checkbox two, required only if the candidate wants the link delivered by text message:

I agree to receive one text message from VeriAxis Group LLC at the number I provided, containing a link to complete this verification. Message and data rates may apply. Reply STOP to opt out or HELP for help. Consent to receive this message is not a condition of employment or of any purchase.

Directly beneath the checkboxes, and before the submit button, the page displays:

Providing this consent is voluntary. If you do not consent, this verification will not be performed, and VeriAxis Group LLC will report only that the check was not completed. VeriAxis Group LLC does not decide whether you are hired. See our Privacy Policy and candidate information page.

What data is used and who receives it

Collected from the candidate

  • Full name, as the candidate types it.
  • Mobile telephone number.
  • The consent record itself: date and time, IP address, and the version of this language shown.

Received about the candidate

  • Whether possession of the number was confirmed.
  • Whether the name matches identity records linked to that number, and how closely.
  • Technical signals about the line, such as whether it is a mobile, landline, or internet calling number.

Who receives it

  • The requesting employer or agency. They see the outcome, the name and number the candidate entered, and the consent record. They do not receive carrier account details.
  • Our phone identity network. It receives the name and number in order to perform the check, under contract, and may not use them for its own marketing.
  • Our infrastructure and messaging providers. Strictly to host the service and deliver the message.

We do not sell this information. We do not use it for advertising. We do not build a profile of a candidate that follows them between employers.

Text message terms

Messaging is transactional and strictly limited to the verification the candidate asked for.

  • Frequency. One message per verification request. If a candidate asks us to resend, that is one more message, at their request.
  • Content. The requesting company's name and a single-use verification link. Nothing else.
  • Cost. We do not charge candidates. Message and data rates from their carrier may apply.
  • Opting out. Reply STOP at any time to stop messages to that number. Reply HELP for assistance, or email support@veriaxisgroup.com.
  • No marketing, ever. A number given for verification is never used for promotion, and is never sold or rented for anyone else's marketing.
  • Carriers are not liable for delayed or undelivered messages.

The right to decline

Consent is voluntary and can be refused, or withdrawn before the check completes, with no explanation required. If a candidate declines, we tell the employer only that the verification was not completed. We do not tell them why, and we do not characterise the candidate.

A candidate who cannot complete a phone check for an ordinary reason, such as having no mobile line in their own name, being on a family plan, or using an internet calling number, has done nothing wrong. We encourage employers to keep an alternative route available, and our Terms require that verification results never be the sole basis for an employment decision.

If a credit or background check is added

That is a separate step with its own, separate consent, and it is never bundled into the identity consent above.

Credit and background checks are consumer reports under the federal Fair Credit Reporting Act. They are performed by a licensed consumer reporting agency, not by VeriAxis. Before any such report is ordered, the candidate receives from that agency a standalone written disclosure, a separate written authorization to sign, and a copy of the federal Summary of Your Rights Under the Fair Credit Reporting Act, together with any notices their state requires. If an employer then takes adverse action based on the report, the employer must first send a pre-adverse action notice with a copy of the report, allow a reasonable period to dispute it, and then send a final adverse action notice.

How consent is recorded

For each consent we store the date and time to the second, the IP address it came from, the version identifier of the language displayed, and which boxes were ticked. A candidate may request a copy of their own consent record at any time. Employers can export it as part of the verification report, which is what makes the consent provable rather than merely asserted.

Consent records follow the same retention rule as the verification itself: deleted ninety days after the request closes, unless a shorter period was agreed or a longer one is required by law.

Questions and deletion requests

Candidates can contact us directly and do not need to go through the employer.
