VeriAxis Group LLC (“VeriAxis”, “we”, “us”) provides identity-verification software to employers and staffing agencies. This policy explains what personal information we handle, why, who we share it with, how long we keep it, and what you can ask us to do about it. It covers our website at veriaxisgroup.com and the VeriAxis service.
Two different groups of people appear in this policy, and our obligations differ for each.
Candidates. A person asked to verify their identity because they applied for a job or an assignment. The employer or staffing agency that requested the check decides why it is being run and is the controller of that decision. We act as a service provider or processor, handling the data on that customer's documented instructions. We also respond to candidates directly, because sending someone back to a company they may not have any relationship with is not a real answer.
Customers. The businesses that use VeriAxis, and the individual users at those businesses. For their account and billing data we are the controller.
For identity verification we do not collect Social Security numbers, dates of birth, photographs, biometric data, or identity documents. If an employer separately orders a credit or background check, the candidate provides any additional information directly to the licensed screening agency under that agency's own privacy notice, not to us.
We use privacy-respecting analytics that record aggregate page views and referrers. We do not use advertising cookies, we do not run third-party ad trackers, and we do not build advertising profiles. Any cookies we set are strictly necessary to keep you signed in and to protect forms from abuse.
We do not use candidate information to train models sold to third parties, to advertise to candidates, or to construct a profile of a candidate that travels between employers.

We do not sell personal information, and we do not share it for cross-context behavioural advertising, as those terms are defined under California law and comparable state laws. We have not done so in the preceding twelve months.
Where we must keep something longer because the law requires it or to defend a legal claim, we keep only what is necessary for that purpose and nothing more.
Whoever you are and wherever you live, you may ask us to:
Email privacy@veriaxisgroup.com, or write to 926 Stevens Dr, Cheyenne, WY 82001. We acknowledge within two business days and respond within thirty days, extending only where the law allows and telling you if we do. There is no charge, and we will not treat you worse for asking.
We verify a request by matching it to information we already hold, and we may ask you to confirm control of the email address or telephone number in the record. We will not demand new sensitive identifiers just to process a request. An authorised agent may act for you with written permission.
Where we hold candidate data as a service provider for an employer, we will tell you which customer requested the check and either action your request directly or forward it to them and support them in answering it. If we must refuse a request, we will explain why.
Residents of California, and of other states with comprehensive privacy laws including Colorado, Connecticut, Virginia, Utah, Texas, Oregon, and Montana, have the rights described above under their own state law, together with the right to appeal a refusal and the right not to face discrimination for exercising a right.
California. In the past twelve months we have collected the categories of personal information described in section 2, namely identifiers and internet or network activity, for the business purposes in section 3, sourced from you directly, from our phone identity network, and from the customer that requested a check. We disclosed those categories for a business purpose to the recipients in section 4. We did not sell or share personal information. We do not collect sensitive personal information for identity verification. To appeal a decision, reply to our response or write to privacy@veriaxisgroup.com with “Appeal” in the subject line; we will respond within forty-five days.
We do not knowingly process the personal information of anyone under sixteen.
We encrypt data in transit with TLS and at rest. Access to candidate records is restricted to users in the requesting workspace and to the small number of our personnel who need it, protected by multi-factor authentication. We log administrative access, minimise what we collect in the first place, and keep personal data out of application logs. No system is perfectly secure, but if a breach affects your information we will notify you and any regulator as the law requires, without undue delay. The service is for employment-related use by adults. It is not directed to children, and candidates confirm they are at least eighteen. If we learn we hold a child's information, we delete it.
We are based in the United States and process data there. The service is offered for verification of individuals in the United States. If you contact us from elsewhere, understand that your information will be processed in the United States, where privacy law differs from that of your home country.
We will post any new version here with a new date. If a change materially affects how we handle candidate personal information, we will give notice to customers in advance and update the version on our Candidate Consent & Notice page. Continued use of the service after a change takes effect means acceptance of the updated policy.
